Practice management for nutrition professionals

Cloud-based practice management software for nutritionists and dietitians

FitConnect Pro is cloud-based practice management software for independent nutritionists, dietitians and nutrition coaches. It keeps each client's intake, meal plans, meal check-ins, files, chat and, for professionals in Spain or the EU, payments in one workspace you open in the browser (it works in English) or in the iOS app, so a small practice runs without spreadsheets, shared folders and five separate apps. It is built for coaching-style practices, not for insurance billing or clinical charting.

What you can do in FitConnect Pro

One client record instead of five tools

Each client has an intake profile (goals, allergies, measurements, health-screening answers such as PAR-Q+), their assigned plans, recent meal check-ins and the full message history. When you adjust a plan you see what the client reported, not what you remember from the last call.

Meal plans, recipes and macros

Build diets from a food library and your own recipes, with calories and macros calculated for you. Save reusable templates, assign a plan to a client and change it as they progress. The client follows it in the app and checks in on each meal as eaten, partly eaten or skipped. You can scan product barcodes yourself when building a diet.

Check-ins that replace the weekly email

Clients submit check-ins with measurements, comments and meal photos. You review them in one queue and answer in the same thread, so follow-up stays attached to the client instead of drifting through inboxes.

Chat, files and sessions

Message clients inside the platform, exchange files (PDF, Word, Excel or text up to 25 MB) such as lab-result summaries a client chooses to share, and schedule sessions on a shared calendar; you receive reminders for your upcoming sessions.

Client payments (Spain and EU)

Client payments are in EUR and currently work only for professionals based in Spain, or in another EU country with a VIES-validated VAT number. FitConnect keeps a 10% commission plus 21% Spanish IVA on that commission. Professionals in the US or UK cannot take client payments through FitConnect today. See the pricing page for current plans; the free plan covers one client so you can test the rest of the workflow first.

AI drafts that you review

On plans that include the assistant, AI can draft a diet or a revision from your instructions. It is a draft: deterministic rules and your own review decide what reaches the client, and nothing is sent automatically.

Several professionals, one client

A client can work with a nutritionist and a personal trainer at the same time. Each professional has a separate client relationship with its own plans and messages, so nobody edits the other's work.

What it is, and what it is not

Good fit

  • Independent dietitians, nutritionists and nutrition coaches who run a coaching or lifestyle practice
  • Small practices that want plans, follow-up and chat in one cloud workspace, with client payments if based in Spain or the EU
  • Professionals who work alongside a trainer for the same client

Not what it is for

  • FitConnect Pro is not a HIPAA-compliant EHR and does not sign business associate agreements
  • It does not submit insurance claims or handle ICD-10 coding, superbills or clinical SOAP charting
  • It does not diagnose or prescribe; the professional stays responsible for working within their qualifications
  • If you are a covered entity under HIPAA, keep clinical records and insurance billing in a system built for that and use FitConnect only for non-clinical coaching

How a nutrition practice runs on FitConnect

  1. Create your professional account and complete your profile.
  2. Invite a client or accept a request from the marketplace, then collect intake and health-screening answers.
  3. Build or assign a meal plan from a template, adjusting foods, recipes and macro targets.
  4. Review check-ins and meal check-ins, reply in chat and update the plan.
  5. Keep sessions, files and notes with the client. If you are based in Spain or the EU, you can also collect client payments in EUR.

Frequently asked questions

What is practice management software for nutritionists?
It is software that runs the business side of a nutrition practice: client records, intake, meal plans, follow-up, scheduling, messaging, files and payments. Some products add insurance billing and clinical documentation. FitConnect Pro covers the coaching workflow, not insurance billing.
Is FitConnect Pro HIPAA compliant?
No. FitConnect Pro is not a HIPAA-compliant EHR and does not offer business associate agreements. It is aimed at coaching and lifestyle practices in the EU; if you are a HIPAA covered entity, use a system built for clinical records and insurance billing.
Does it work as cloud-based software on my phone?
Yes. It runs in the browser, and the web app works in English. An iOS app is available; its English localization is still in progress, so some screens may appear in Spanish.
Can I take payments from clients?
Only if you are based in Spain, or in another EU country with a VIES-validated VAT number. Payments are in EUR through Stripe Connect, and FitConnect keeps a 10% commission plus 21% Spanish IVA on that commission. Professionals in the US or UK cannot take client payments through FitConnect today, so keep your current payment tool if that is you.
Can a nutritionist and a personal trainer share a client?
Yes. A client can have active relationships with more than one professional, and each relationship keeps its own plans and messages.
Does the AI write meal plans on its own?
No. The AI produces a draft from your instructions on plans that include it. You review and edit it before it reaches a client.
